Case Study

Automated Settlement Notification Process

Legal Team & Claims Examiners · August 2026

How a manual, case-by-case notification process became a fully automated monthly flow, cutting 100% of the repetitive work.

Manual review~50x / month

01 — The Problem

A manual process with no room to scale

Each month, the Legal team had to review a case report, identify which examiners were affected by new settlements, and send notifications one by one.

This created ongoing administrative overhead and a real risk of delayed or missed notifications as settlement volume grew.

Open report
Review for new settlements
Identify impacted examiner
Send individual emailrepeated per claim
↻ repeated ~50 times a month, by hand
02 — My Approach

Reframing the ask

The Legal team's initial request was a simple feedback form. After meeting with stakeholders to understand the real bottleneck, I saw that a form alone would still leave the distribution work manual.

I proposed a fuller automation using tools already available to us, and the scope grew from there.

What they asked for
A Microsoft Form to collect survey feedback, sent out manually.
What I proposed
A form plus a scheduled, hands free automation covering the entire notification process.
03 — The Build

Designing the automation

Working directly with Legal's directors and a department head, I built the form, the scheduled flow, and the notification template, while partnering with the EBI team to adjust the source report in Power BI.

Report manually uploaded to SharePoint
Power Automate flow triggers monthly
Claims matched to examiners, consolidated
Notification sent via Outlook
04 — Refining It

Removing the last manual step

During a week of testing, I found a way to eliminate the one manual task left in the process: uploading the report.

The flow now pulls straight from Power BI, making the process entirely hands free.

Before
Legal manually exports & uploads report
After
Report auto exports from Power BI to SharePoint
05 — Results

06 — Feedback

What they said

Direct feedback from the department head after the project was delivered.

"We were fortunate to have Vanessa on our team. She quickly understood our needs, created a draft form during our first meeting, and shared initial ideas for automating distribution on the spot."
