How a manual, case-by-case notification process became a fully automated monthly flow, cutting 100% of the repetitive work.
Each month, the Legal team had to review a case report, identify which examiners were affected by new settlements, and send notifications one by one.
This created ongoing administrative overhead and a real risk of delayed or missed notifications as settlement volume grew.
The Legal team's initial request was a simple feedback form. After meeting with stakeholders to understand the real bottleneck, I saw that a form alone would still leave the distribution work manual.
I proposed a fuller automation using tools already available to us, and the scope grew from there.
Working directly with Legal's directors and a department head, I built the form, the scheduled flow, and the notification template, while partnering with the EBI team to adjust the source report in Power BI.
During a week of testing, I found a way to eliminate the one manual task left in the process: uploading the report.
The flow now pulls straight from Power BI, making the process entirely hands free.
The process went from a manual, error prone monthly task to a fully automated flow requiring no ongoing effort from either team.
